Job Description

Our client, a rapidly growing healthcare organization based in Abuja, is seeking an exceptional Executive Assistant to provide high-level support to the Chief Executive Officer.

This is a strategic and hands-on role for a highly organized, proactive, and trustworthy professional who thrives in a fast-paced environment. The successful candidate will serve as the CEO's right hand, ensuring seamless coordination of executive priorities, office operations, stakeholder communication, project follow-up, and administrative processes.

The ideal candidate combines excellent organizational skills with sound judgment, strong communication abilities, discretion, digital competence, and the ability to manage multiple priorities with minimal supervision.

Key Responsibilities

Executive & Administrative Support
>Manage the CEO's calendar, appointments, meetings, and travel arrangements.
>Prepare reports, presentations, correspondence, meeting materials, and minutes.
>Screen and prioritize emails, calls, requests, and visitors.
>Track action items and ensure timely follow-up on executive decisions.

Office & Operations Management
>Coordinate day-to-day office administration and workflow processes.
>Maintain efficient filing systems, documentation, and office records.
>Support operational improvements and administrative efficiency initiatives.
>Liaise with vendors, service providers, and internal teams.

Human Resources Administration
>Maintain and update employee records and HR databases.
>Support recruitment processes, including job postings, interview scheduling, and candidate coordination.
>Assist with onboarding, employee documentation, and HR reporting.
>Ensure confidentiality and compliance in handling employee information.

Digital & Website Management
>Review and update company website content as required.
>Coordinate with web developers and digital service providers.
>Ensure public-facing information remains accurate and up to date.

Social Media & Corporate Communications
>Support social media and digital communication activities.
>Assist in content development and online engagement initiatives.
>Coordinate approved communication materials and campaigns.

Stakeholder Engagement
>Serve as a professional liaison between the CEO and internal/external stakeholders.
>Manage communications with clients, partners, consultants, vendors, and regulatory bodies.
>Maintain strong professional relationships that support organizational goals.

Project & Event Coordination
>Track project timelines, milestones, and deliverables.
>Prepare status updates and escalate issues when necessary.
>Coordinate meetings, conferences, training sessions, and corporate events.
>Manage event logistics and stakeholder engagement activities.

Executive Decision Support
>Exercise sound judgment on routine operational matters.
>Escalate sensitive, strategic, financial, or policy-related matters for CEO approval.
>Maintain records of approvals, decisions, and follow-up actions.

Requirements

Education
>HND or Bachelor's Degree in Business Administration, Management, Economics, Social Sciences, or a related discipline.

Experience
>Minimum of 3-5 years' experience in an Executive Assistant, Personal Assistant, Office Administrator, Administrative Officer, or similar role.
>Proven experience supporting senior executives or leadership teams.
>Experience in office administration, project coordination, stakeholder management, and executive support.
>Previous HR administration experience is an advantage.

Technical Skills
>Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
>Experience using email systems, digital calendars, virtual meeting platforms, and document management tools.
>Familiarity with website content management and social media platforms is desirable.
