Job Description

We are looking for an exceptional Executive Assistant to provide high-level administrative and strategic support to the CEO of a growing finance and investment company.

This role is ideal for someone who is highly organized, proactive, discreet, and thrives in a fast-paced environment. Beyond managing schedules, the successful candidate will help keep the CEO organized, ensure priorities are executed, coordinate projects, and act as a key point of communication across internal and external stakeholders.

This is not a traditional secretarial role. We are looking for someone who can anticipate needs, solve problems independently, and become a trusted partner to the CEO.

Key Responsibilities

Executive Support
>Manage the CEO's calendar, appointments, and daily schedule.
>Coordinate meetings, prepare agendas, and take meeting minutes where required.
>Prioritize emails, correspondence, and requests requiring the CEO's attention.
>Draft professional emails, reports, presentations, and other business documents.
>Organize travel arrangements, accommodation, and itineraries.
>Screen calls and manage communication on behalf of the CEO when appropriate.

Operations & Coordination
>Track ongoing projects and follow up with team members to ensure deadlines are met.
>Coordinate meetings with clients, investors, partners, and stakeholders.
>Assist with planning company events, executive meetings, and presentations.
>Maintain organized digital and physical filing systems.
>Prepare weekly reports and executive summaries.

Research & Analysis
>Conduct market and industry research.
>Gather information to support business decisions.
>Prepare briefing documents before meetings.
>Summarize reports, proposals, and business opportunities.

Administrative Support
>Manage confidential documents and sensitive information.
>Process expense reports and basic administrative documentation.
>Assist with procurement and vendor coordination when required.
>Handle ad hoc tasks assigned by the CEO.

Requirements

Requirements

>Bachelor's degree in Business Administration, Economics, Finance, Management, or a related field.
2–5 years' experience as an Executive Assistant, Personal Assistant, Operations Coordinator, or similar role.
>Excellent written and verbal communication skills.
>Strong organizational and time management abilities.
>High attention to detail.
>Ability to multitask under pressure.
>Strong problem-solving skills.
>Professional appearance and demeanor.
>High level of integrity and discretion.
>Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
>Experience using Google Workspace.
>Comfortable learning new digital tools and software.
